2. The information you provide and how the form works

The stay inquiry form includes the following information that you enter yourself:

• Full name and email address
• Phone number, optional
• Arrival and departure dates and number of guests
• Any message, question or special request

The form creates a prefilled message in your email application or WhatsApp. The site does not automatically send the inquiry to the host or store the form contents in its own database or localStorage. When you select WhatsApp, the information is included in the link opened with that service, before you press the final send button. For email, it is passed to your email application. Management receives it when you complete sending the message.

We do not request card, payment, passport or identity document details through this form. Please avoid sensitive information in the message field. The required contact and stay details are needed to prepare a complete inquiry.

3. Purposes and legal bases

We use inquiry details to reply, check availability and discuss the stay you request. These steps taken at your request before a contract and, if a reservation is confirmed, managing that reservation are based on Article 6(1)(b) GDPR.

Where records must be kept to meet legal obligations, Article 6(1)(c) applies. Necessary processing for security, preventing misuse and handling legal claims may rely on legitimate interests, with regard to your rights, under Article 6(1)(f).

Form details are not used for newsletters or advertising campaigns. An inquiry does not automatically create a confirmed reservation. The site does not make automated decisions about you or create an advertising profile.

4. Cookies and local preferences

The site code does not set advertising or analytics cookies and does not include Google Analytics or an advertising pixel. It saves only the following preferences in your browser’s localStorage:

• eagle-language — Greek or English language choice
• the-eagle-theme — light or dark appearance choice

Preferences remain on your device until you change them or clear the site’s data in your browser. Fonts and icons are served as files of the site itself. Embedded Google maps are a third-party service described below; the absence of site analytics does not mean that third-party services do not process technical data of their own.

5. Hosting, maps and third-party services

• The hosting provider and any site delivery infrastructure may process technical connection data, such as IP address, request time and device/browser information, to deliver and secure the website.
• Embedded maps load content from Google. When they load, Google may receive your IP address and other technical data and use its own storage technologies under its privacy policy.
• When you open WhatsApp or send email, the relevant service also processes contact and message details. These services operate under their own privacy policies.
• Links to Booking.com, Google Hotels, Instagram, Facebook and TikTok open external services. Reservations made through Booking.com are also covered by the platform’s privacy notice.
• The BYRON I video preview uses an image hosted by YouTube. If you press Play, the video player loads from YouTube’s privacy-enhanced domain. Google/YouTube may process connection information under its own privacy policy. Links to The Sea Lovers, Mare Sud, AquaDive and Eco Diving Center open their independent external websites.

We do not sell your inquiry details. Disclosure to competent authorities takes place where required by a legal obligation. Third-party providers may also process data outside the European Economic Area; their policies describe the relevant information and safeguards.

6. How long information is kept

The site does not maintain a submitted-inquiry archive. If you send us a message, correspondence details are kept for as long as needed to reply and complete your inquiry and address any related outstanding matter or legal claim. They are deleted when there is no longer a reason to keep them.

For confirmed stays, records required for contractual, tax or other legal obligations are kept for the applicable required period. Browser preferences are kept as explained in section 4. Third-party providers apply their own retention rules to their technical records.

7. Your rights

Depending on the legal basis and the conditions of the GDPR, you may request access, correction, erasure, restriction or portability and object to processing. Where processing relies on consent, you may withdraw it without affecting prior lawful processing.

To exercise a right, write to [email protected]. Reasonable verification of your identity may be needed. Requests are normally answered within one month; if a lawful extension is needed, you will be informed of the reason.

You may also lodge a complaint with the Hellenic Data Protection Authority. The Authority provides guidance on the steps required for your circumstances.
